Job description

Perform office management duties, including:

  • Managing the inventory of office supplies, ordering additional supplies as needed, and ensuring that costs are appropriately managed.
  • Planning space allocations, layouts, and floor moves as required.
  • Liaise with facility management vendors, including cleaning, catering and security services.
  • Implement and maintain procedures/office administrative systems.

Assist the Managing Director and other employees with his daily schedule and duties, including: 

  • Managing his calendar, commitments, and travel arrangements.
  • Organize meetings, book transport and accommodation.
  • Help to organize company’s internal and external events, employees’ participation in the conferences (or similar events).
  • Provide other daily support to staff/Managing Director as needed.

Managing document flow, including:

  • Organizing company’s legal documents and/or certificates extraction from state. organizations, organize their translation, notarization, apostillisation and delivery to third parties.
  • Organize company’s internal and external contracts signing and delivery to third parties.
  • Organize company’s documents hard copies and electronic documents archives, safety.
  • Preparing different types of documents e.g. letters, orders, references.

Requirements

  • Experience in the similar position would be considered as an advantage.
  • Technical knowledge.
  • Proficiency in MS Office.
  • Very good time management skills and ability to multitask and prioritize work.
  • Very good written and verbal communication skills in English and Lithuanian (Russia would be an advantage).
  • Outgoing, straightforward and creative personality. 
  • Accuracy and precision.
