Starting salary from EUR 1980 to EUR 2700 gross depending on the qualifications and experience required for the job.

SPECIFIC INFORMATION

The support officer primarily responsible for providing logistic and technical support to operational management processes and the office as a whole. The focus will be on processes and contacts outside in support of functioning of the embassy.

On a day-to-day basis the support officer is accountable to the local Operational Manager (OM).


MAIN ACTIVITIES

Providing logistic and technical support for operational management processes. Examples include:
• Taking responsibility in preparation of and during events at the residence and chancery as hospitality officer, sending invitations, keeping track of RSVPs, maintaining contact with catering and transport companies, public authorities and other parties involved;
• Taking care for expat staff of topics such as housing, car licensing, declarations, medical matters, VAT, etc.;
• Purchasing and stock keeping of office supplies (technical equipment, office equipment, medical and food supplies) for the embassy;
• Maintaining contacts with suppliers and maintenance firms regarding the provision of goods and services for the embassy, and to provide information on the progress and completion of maintenance work, minor breakdown repairs, etc. at the chancery.
• Provide technical support to the embassy (i.e. doing small reparations), including responsibility for the office car (such as changing of tyres, carrying out regular technical checks and cleaning);
• Driving the office car for various purposes and deliveries, including driving the ambassador and other staff members on diplomatic duty if required;
• Ensuring safety and security at the embassy by carrying out periodic maintenance, testing equipment and providing support to crisis simulation events;
• Actively maintaining contacts with local government and other bodies and firms, obtaining documents, etc; Knowledge of protocol matters is a plus. _________________________________________________________________

KNOWLEDGE AND SKILL REQUIREMENTS

• Social internal and external communication skills;
• Knowledge of relevant local legislation or ability to find out quickly;
• Skill in drawing up schedules, rosters, etc;
• Ability to deal with inter-cultural differences and sensitivities;
• Ability to identify and solve practical problems effectively;
• Ability to work with MS office programmes such as Word, Excel and Outlook.
• Language skills: Lithuanian and English (B2 or higher);
• Driving license (B) and general readiness to drive the office car.

LEVEL OF EDUCATION / ADDITIONAL TRAINING AND KNOWLEDGE

• Secondary vocational education level or higher
• Two years of relevant work experience
