Internews manages several regional media development projects in Eastern Europe focused on supporting local independent journalists and media outlets. The projects aim to foster resilience in media and society by helping make credible, professional media more competitive, and expanding domestic audiences and demand for fact-based, reliable information.
Core Functions/Responsibilities:
The Project Assistant will support all projects performed out of the Vilnius office on various processes and procedures. These include data collection, administration, and monitoring for consultant contracts and outside service contracts, expense reimbursement documentation preparation for employees and consultants, prepare local and HQ timesheets, vetting of vendors and participants, assistance with events organization and logistics etc.
- Compile all hiring documents for project consultants and provide support to document their time and activities.
- Regularly monitor consulting contract expiry dates, funds balance and ensure contract extensions/closures are initiated and completed on time.
- Liaise with consultants and employees to collect all documentation needed for payment and expense reimbursements, facilitate payment processing, and ensure compliance with organizational policies.
- Perform vetting of consultants, partners and/or vendors.
- Coordinate travel logistics and arrangements, assist with visa applications, and arrange accommodations for project trainers, consultants, and participants in conjunction with project teams.
- Provide programmatic, administrative, and logistical support to Project Directors and the Finance Director for all project-sponsored trainings, conferences, and events. Potential duties may include liaising with event invitees, speakers, trainers and participants; venue selection and reservation; ordering catering; and other responsibilities.
- Participant/guest speakers’ personal data collection and completion of applicable forms.
- Train all new employees how to fill out their timesheets, check timesheet records twice per month and correct any potential errors.
- Fill out local timesheets and prepare for accounting.
- Understanding of and demonstrated commitment to upholding Internews’ Core Values.
- Other duties as assigned.
Required Qualifications and Experience
- Fluency in English
- Must have the legal right to work in Lithuania.
- Excellent organizational skills and attention to detail.
- Willingness and motivation to learn
- Strong interpersonal and communication skills.
- Proficiency using Microsoft Office Suite and common online and social media platforms.
- Must be self-reliant, resourceful, a good problem-solver, good humored, and flexible.
- Ability to work independently, efficiently and reliably, to a high standard and to deadline.
- Ability to work collaboratively with a diverse staff.
Preferred Qualifications
- Lithuanian and/or Russian languages
- Working experience in an international development organization
