About the Team & Business Line:

This position is within the Real Assets Client Administration Team (CAT), which forms part of the Real Assets Fund Services business line.
The CAT is part of Citcos Fund Services business lines, which actively manages and ensures best in-class service provision to the worlds largest Alternative Investment Fund Managers. Additionally, the CAT advocates continuous improvement of the internal housekeeping of all of Citcos system. Our primary focus is ensuring that all services provided to the clients are properly contracted and billed. Additional focus points are the preparation of regulatory oversight reports for our clients, assisting all the operational teams with services questions, ensuring Know-Your-Customer information is properly processed and assisting the relationship managers with a variety of other tasks. 

Your Role:

  • You will be assisting with onboarding requests, provide input on- and follow-up on the execution of legal agreements, assist with- and follow-up on the completion of due diligence and KYC processes
  • You will create and maintain customer and project master data in Citco's Master Data Management (Oracle/SAP - Master Data Management& K4) systems to ensure accuracy of contracting & billing
  • You will be assisting with billing requests, support and maintain the billing system and are the first point of escalation for Citco's operational teams (across Citco's business lines) in relation to invoicing and billing
  • Maintaining full life cycle of accounts payable/receivable for recoveries on outstanding invoices
  • You will be responsible to keep track of new engagements and ensure contracts are in place and fees are aligned with the provision of services
  • You assist your colleagues within the Real Assets CAT to ensure that Service Level Agreements are managed, maintained and tracked across all services lines
  • Together with your CAT colleagues, other business lines and the client to improve team- and operational efficiency and coordinate work activities with other managers / client (services) managers
  • Collaborate with internal stakeholders e.g.: sales, operations, legal and/or compliance to drive across functional initiatives e.g.: Quarterly Reviews on relationship management, strategic roll-out of new processes, implementation of new software, etc.
  • You are responsible for preparing presentations both for Citco internally, as well as for clients
  • You will be responsible to provide administrative support & service coordination to the other team members in their absences, or with your specific knowledge;
  • You will perform ad-hoc duties if required
  • Attend and host both internal and external meetings

About You:

  • You have a minimum of 3 years of experience in a client facing role
  • You have great knowledge of Microsoft Excel
  • Experience with Oracle Fusion would be a major advantage
  • Experience with SharePoint would be a major advantage
  • You love preparing presentations and have excellent presentation skills;
  • You are fluent in English (written and spoken)
  • You have ability to prioritize with strong attention to detail
  • A legal, compliance or accounting background would be a major advantage
  • You have strong organizational, project management and planning skill set
  • You are a pro-active problem solver and have the ability to self-identify risks/issues/efficiencies in your-day-to-day tasks
  • If you can work effectively in high dynamics atmosphere while maintaining a professional manner
  • Dual-ability to work effectively as both a team player and alone
  • You are able to establish excellent working relationships with the internal servicing teams and the Clients representatives, who also operate at a group level within the business
