About the position

The Office and HR Administrator will provide administrative and HR support for the office and provide support to the project team with travel expense reimbursement as well as HR documentation for consultants and local staff members. Office and HR Administrator will also take care of office management and provide logistical support to different programs as needed. This is a full-time position.

Core Functions and Responsibilities

  • organize office operations and procedures;
  • assist with personal service contracts (PSCs) for consultants residing abroad; 
  • prepare local employment and service agreements and employment-related documents; 
  • assist foreigners with migration procedures and relocation; 
  • coordinate travel logistics and arrangements;
  • provide support as necessary when commissioning services from vendors and contractors;
  • provide administrative and logistical support to the project staff for all project-sponsored trainings, conferences, and events;
  • coordinate with IT department on all office equipment, monitor all fixed assets in the local organization;
  • prepare travel expense reimbursement documentation for all staff, collect invoices from consultants for accounting entries;
  • perform work safety and security function;
  • other duties as assigned.

Required Qualifications and Experience

  • Bachelor’s degree or equivalent standard of education;
  • Fluency in Lithuanian, English required, Russian preferred;
  • 1-3 years’ experience in administrative and/or HR positions; experience with international development organizations would be a plus;
  • Excellent organizational skills and attention to detail.
  • Strong interpersonal skills.
  • Proficiency using Microsoft Office Suite and common online and social media platforms.
  • Ability to work independently, efficiently and reliably, to a high standard and to deadline.
  • Ability to work collaboratively with a diverse staff.
  • B category driving license desired.
