Role

This position will provide administrative assistance to the EMEA Legal and Compliance Departments.
General Administrative Support
  • Provide general administrative assistance to the Managing Director EMEA Compliance and the Managing Director, General Counsel of Moodys Investors Service and their respective teams.
  • Acquire and maintain a good understanding of Moodys business, and specific business line being supported, to provide optimal customer service.
  • Use initiative to relieve executives of detail-oriented work.
Meeting Coordination
  • Executive diary management assessing business priorities and using initiative to anticipate and resolve meeting conflicts.
  • Process meeting requests for team including setting up appointments, reserving conference rooms, requesting security passes for guests, arranging for teleconference numbers, refreshments, handouts, etc. 
  • Guests are often high-profile government officials and other people with complicated schedules, so attention to detail is required.
Travel & Entertainment
  • Arrange travel for team members including air, rail, car service, and hotel and conference registrations, taking care to be mindful of deadlines and working to ensure that the most economical options are taken advantage of.
  • Timely and accurate preparation and submission of T&E reports, ensuring that company policies are followed, and that proper and organized documentation is provided to support the report.
External Vendor Support
  • Work with external vendors and Moodys Accounts Payable team to ensure invoices are received, filed and paid in short order.
  • Ensure that invoices are logged into the teams tracking system.
Liaison
  • As needed, assist in coordinating efforts with Technology, Building Services and others, including the coordination of the onboarding processes for new team members.

Darbo pobūdis

  • 3+ years related experience working in a corporate environment.
  • Advanced working knowledge of Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint and SharePoint.
  • Great interpersonal skills and phone manner.
  • Excellent communication skills ability to convey thoughts clearly and succinctly in speech and in writing and to communicate pertinent complex information in a clear and organized manner; ability to compose general correspondence, memos and other documents for distribution to both internal and external clients of all levels, with little or no editing by manager.
  • Strong organization skills: time management and ability to multi-task and shift priorities.
  • Ability to interact comfortably and effectively with Senior Management.
  • Good presentation skills.
